What Is a Receipt?

A receipt is the record that money was received — nothing is being requested by it.

A receipt confirms a completed payment. It names the payer and the business that received the money, states the amount, the date and the method, and usually carries a reference so both sides can find the transaction again.

For the customer it is evidence of purchase, useful for expenses, warranties and their own bookkeeping. For you it closes the loop on an invoice and keeps your records straight when someone queries a payment months later.

Timing

When Should You Provide One?

Issue a receipt at the moment of payment wherever you can, while the detail is fresh.

  • Any time a customer pays in cash
  • When a deposit or part-payment is taken
  • When an invoice is settled in full
  • When the customer asks for proof of purchase
  • For payments made in person, where no bank record exists on their side
  • For recurring payments such as rent, retainers or memberships

What a Receipt Should Contain

Each field exists so the payment can be identified without asking anyone.

Payment method

Cash, card, bank transfer, standing order or another method. On card payments, the last four digits are often enough to identify it.

Transaction date

The date the money was actually received, which is not always the date the invoice was raised or the work was done.

Amount paid

The figure that actually changed hands, in the currency it was paid in — not the invoice total if they differ.

Reference number

A unique receipt number, plus the invoice or order number it relates to, so both documents can be matched.

Remaining balance

Where the payment is partial, show what is still outstanding and when it falls due. Leave it off only when the account is clear.

Both parties and the items

Your business details, the payer's name, and what the payment covers, described the same way it was on the invoice.

    No payment method recorded

    Without it you cannot tell a cash payment from one that should appear on a bank statement.

    Using the invoice date

    The receipt should carry the date the money was received, not the date you billed.

    No reference to the invoice

    Unlinked receipts make reconciliation slow and part-payments almost impossible to track.

    Hiding a part-payment

    If a balance remains, state it. A receipt that looks like settlement in full causes the wrong assumption.

What is a receipt?

When should I give a customer a receipt?

Whenever a payment is made, and always when the customer asks. Cash payments, deposits and part-payments are the ones people most often forget to document.

Is a receipt the same as an invoice?

No. An invoice requests payment; a receipt confirms payment was received. The same transaction usually produces both, one before and one after the money moves.

Does a receipt need a reference number?
