How to create an invoice in South Africa
- 01Enter your business name and address, choosing your province. Add your own VAT or company registration number only if applicable.
- 02Add the customer's details. Their country can differ from yours without changing your business address.
- 03Confirm the invoice number and dates, then describe each product or service with its quantity and rate.
- 04Enter VAT only if it applies to your transaction. Add any discount, payment terms and bank instructions you want to share.
- 05Review the live preview, then download the PDF. Open it in a PDF viewer if you need a printed copy.
What to include on a South African invoice
For an ordinary commercial invoice, make the transaction understandable: who is selling to whom, what was supplied, how much is owed and when payment is due. A VAT tax invoice is a different matter: it has prescribed particulars. SARS distinguishes them in chapter 13 of its VAT 404 guide.

For VAT-registered vendors
SARS lists the seller's name, address and VAT registration number, serial number and issue date, description, and permitted ways to show price and VAT. A full tax invoice also requires recipient details and quantity or volume. The exact requirements depend on the supply and invoice type; check the official guide rather than treating this checklist as a compliance certificate.
VAT on South African invoices
The editor does not add VAT by default. If you are registered and VAT is due on the particular supply, enter the appropriate rate and your own VAT number. If VAT does not apply, leave the rate at zero; do not suggest to a customer that VAT was charged. The tool calculates a percentage-based VAT line and supports additional named percentage tax lines where applicable. It does not decide whether a sale is taxable, zero-rated, exempt or subject to a special rule.
SARS's VAT 404 guide explains that an ordinary commercial invoice is not automatically a valid tax invoice. Check the current rules and your registration status with SARS or a qualified professional before using a generated document for VAT purposes. Last reviewed: 26 September 2026.
South African addresses and payment details
The seller and customer each have separate street, suburb, city or town, province, postal code and country fields. Select a province for either party without changing any other invoice details; change the customer's country for international work. Your company registration number, business reference, website and VAT number are optional.

For small businesses, freelancers and contractors
A consultant can describe a defined project or bill by the hour; a tradesperson can separate labour and materials; an agency can itemise a retainer and extra work. Write descriptions that help the customer recognise the agreed scope. Keep copies of your PDFs and supporting records yourself — this browser tool does not file tax returns, issue recurring bills automatically or manage your books.

Frequently asked questions
Do all South African invoices need VAT?
No. Whether VAT applies depends on the seller's registration and the particular supply. Leave the VAT rate at zero if it does not apply; consult SARS or a qualified adviser before charging VAT.
What is the difference between an invoice and a tax invoice?
An ordinary commercial invoice requests payment. A VAT tax invoice must meet the requirements for a taxable supply described in chapter 13 of SARS's VAT 404 vendor guide. Adding a VAT amount alone does not make an invoice compliant.
Can I invoice an overseas customer?
Yes. Enter the customer's country independently from the seller's address and choose the currency you agreed. Cross-border VAT treatment is transaction-specific; check it before sending.
Can I add my VAT number and banking details?
Yes. The VAT number and bank fields are optional and only entered values appear in the preview and PDF. Never use a made-up VAT number.
Can I change the province or currency?
Yes. Choose any of South Africa's nine provinces for your business or customer, and change ZAR to another supported currency whenever you need to.
Is the invoice free to download?
Yes. Download the completed invoice as a PDF without an account or watermark. Open the PDF in a viewer to print it.
