If your invoicing already lives in spreadsheets, this Excel template keeps it there. Line totals, subtotal, tax and the grand total are formula-driven, so you type descriptions, quantities and rates and the maths takes care of itself. It's a plain .xlsx file — it opens in Excel, LibreOffice and Google Sheets, and there's nothing to sign up for.

Spreadsheets earn their place when you want a master log of every invoice in one workbook, or when your bookkeeper insists on it. The trade-off is formatting: an Excel invoice looks like a spreadsheet unless you fight it, and it still has to be exported to PDF before you send it — never email an editable file to a client.

Common questions

Does the Excel template calculate totals automatically?

Yes. Each line multiplies quantity by rate, and the subtotal, tax and grand total are formulas. You only fill in descriptions, quantities, rates and the tax rate — changing any of them recalculates the whole invoice.

Should I send clients the Excel file or a PDF?

Always a PDF. An .xlsx is editable, so it can be altered — accidentally or otherwise — after it leaves your hands, and it can look broken on a phone. Export or print to PDF first, or use the online generator on this page, which downloads a PDF directly.

Excel or Word for invoices — which is better?

Excel, whenever there's more than one line item. Invoices are mostly arithmetic, and Excel does the arithmetic; Word doesn't. Word templates suit simple one-line invoices where presentation matters more than calculation.
