Invoicing for services rather than products

A product invoice is easy to verify: the customer received a thing. A service invoice has to describe something the customer may not have watched happen, which is why the description carries more weight than the price does. Say what was done, where and when.

Most service billing falls into three shapes. A callout or appointment with a fixed fee, labour charged by the hour, and recurring visits under an agreement. This template handles all three: use quantity for hours or visits, and give each service its own row so nothing is bundled.

Maintenance and appointment-based businesses gain from repeating the same wording every period. When February's invoice reads exactly like January's apart from the dates, the customer stops reading it closely and starts paying it quickly.

Common mistakes

Undated service descriptions

Without the visit dates, a customer cannot match the invoice to what they remember happening.

Hiding parts inside labour

Combined figures look inflated. Separate lines look accounted for.

Changing the wording each month makes a routine payment feel like a new decision.

After-hours or emergency rates should be agreed before the visit and labelled on the invoice.

Frequently asked questions

How should I describe a service on an invoice?

Name the service, where and when it happened, and what it covered. 'Boiler service — 12 March, annual maintenance visit' is easier to approve than 'maintenance'.

Can I bill recurring visits on one invoice?

Yes. Put the number of visits in the quantity column with your per-visit rate, or list each visit date on its own line when the dates matter to the customer.

How do I charge a callout fee plus hours?

Show the callout as one line and the additional labour hours as another. Splitting them explains why the first hour costs more than the rest.

What about parts used during a service?

List parts separately from labour. Customers accept parts charges much more readily when they are not buried inside an hourly figure.

Can I invoice a maintenance contract in advance?

Yes. State the contract period in the description and issue the invoice at the start of that period with your usual payment terms.
