How to reduce late payments
Most late-payment prevention happens before the invoice is sent: agree the scope, buyer, reference, due date and payment route while everyone is paying attention.
Qualify the payment process
Ask who approves the invoice, which entity must be billed, whether a purchase order is required and how invoices are submitted. A correct invoice sent to the wrong inbox is still late.
Agree money before delivery
Put the price, deposit, milestones, expenses and payment terms in the quote or contract. For long jobs, staged invoices reduce the amount at risk and reveal problems earlier.
Send a clean invoice immediately
Use the agreed descriptions and references, check the arithmetic and include an actual due date. Send it as soon as the billing event occurs rather than waiting for month-end from habit.
Run a reminder routine
Schedule a courtesy note before the due date and a consistent follow-up once overdue. Track promises to pay and pause further credit where repeated delay makes that sensible.
