Consulting Invoice Template

Consulting work rarely fits a simple price list. You might bill a discovery workshop by the hour, an audit as a fixed fee and follow-up calls by the session — often on the same engagement. This template handles all three: each line takes a description, quantity and rate, so hours, days, flat fees and expenses sit side by side and add themselves up.

Clients pay consulting invoices faster when they can trace every charge back to the proposal. Use the line descriptions to mirror the language of your engagement letter, add the client's purchase order number in the notes if they issued one, and set payment terms that match your contract — Net 30 is the consulting default, but Net 15 is reasonable for smaller engagements. List out-of-pocket expenses as their own lines rather than burying them in your rate, and note whether they're re-billed at cost or with a markup.

Common questions

Should I invoice consulting clients by the hour or by the project?

Either works on this template — it's a commercial decision, not a formatting one. Hourly billing is simpler to justify line by line; project fees are easier for clients to approve. Many consultants mix both: a fixed fee for the core deliverable, hourly lines for extra calls and scope changes. List each the same way, with quantity and rate.

What payment terms should a consultant use?

Net 30 is the common default for established clients; Net 15 or due on receipt works better for new relationships and small engagements. Whatever you choose, state it on the invoice itself — the terms field on this template prints directly under the due date so there's no ambiguity.

How do I bill expenses to a consulting client?

Add each expense as its own line item with the actual cost as the rate, and say in the description what it was (e.g. 'Travel — client site visit, 12 May'). Re-billing at cost is the norm; if your contract adds an administration markup, show it as a separate line so the invoice stays transparent.

Do I need to charge tax on consulting services?

That depends on where you and your client are registered. If you collect VAT, GST or sales tax, enter the rate in the tax field and the template calculates and itemises it for you. If you're below your local registration threshold, leave the rate at zero — but check your local rules rather than guessing.
